Shorts Chartered Accountants are looking to recruit a full time Payroll/Administrator Apprentice. The role will mainly involve working in the payroll team, producing client payrolls, with some interaction with other departments, mainly our Accounts Department.

 

Duties and Responsibilities

  • Maintain accurate records, ensuring client data is updated in real-time 
  • Demonstrate excellent organisational skills including prioritising own workload to meet all deadlines 
  • Prepare payrolls with high accuracy and to agreed timelines 
  • Prepare and submit all required returns to HMRC deadlines 
  • Comply with HMRC legislation, including implementation of changes to tax codes etc.
  • Have a sound knowledge of all statutory payments and eligibility criteria, including undertaking training where necessary 
  • Conduct a self-check of all prepared work prior to submission for audit 
  • Where applicable provide the administration of client pension schemes, applying changes, producing reports and ensuring submission deadlines are met 
  • Develop an extensive knowledge on differing pension schemes and current regulations, including undertaking training where necessary 
  • Build and maintain strong and trusting relationships with clients including regular meetings to discuss ways we can improve our service 
  • Manage client expectations, including immediate notification where a deadline won’t be met, reasons why and an agreed solution, keeping the Payroll Manager updated 
  • Take ownership of client queries, responding thoroughly and in a timely manner 
  • Respond to internal queries from colleagues in other departments and external queries from eligible third parties e.g. HMRC 
  • Use appropriate methods of communication to uphold GDPR compliance 
  • Perform all year end activities within the given deadlines, including the distribution of P60 documents as per the client specifications 
  • Self-evaluate performance and training needs, bringing these to the attention of the Payroll Manager for review 
  • Raise all issues with the Payroll Manager in a timely manner to support a swift resolution 
  • Raise suggestions for improvements to client service and notify the Payroll Manager upon identifying any potential gaps in our process 
  • Any ad hoc duties as requested by the firm 
  • Ensure personal working environment does not pose any health and safety risks for colleagues 
  • Report any instance of suspicious or potentially fraudulent behaviour 
  • Promote an environment of inclusion and support to colleagues 
  • Share ideas for continual personal and firm development

Programme details

The apprenticeship standard consists of core knowledge, skills & behaviours. This is typically a 12-15 month apprenticeship which is delivered in partnership with the employer in the workplace.

Apprentices will achieve a L2 AAT qualification prior to End Point Assessment (EPA). 

Apprenticeship standards require apprentices to participate in a minimum of 20% off the job training during paid working hours, this will include time spent studying with the training provider and workplace training. 

Apprenticeship standards are assessed through an end point assessment (EPA), the EPA commences once the apprentice, employer and tutor all agree that the apprentice is ready and consists of 3 elements: 

  • Synoptic end test 
  • Portfolio 
  • Reflective discussion 

The apprenticeship outcome will be graded as a pass, merit or distinction.

Apprenticeship standard

Level 2 Finance Assistant 

Salary: £155.63 per week

Weekly Hours: 37.5 Hours per week. Monday to Friday 09.00 - 17:30. Shorts offer a core hours policy so you can work anywhere between 8am and 6pm with up to two hours for lunch. Details to be confirmed.

Progression

Strong possibility of either a full time role within the payroll team or within other departments on successful completion of the Level 2 apprenticeship.  

Progression onto Level 3 apprenticeship.
